AI FRONT DESK HELPER
AI receptionist for window cleaning companies

An AI receptionist for window cleaning companies that prices by the window and books the day

Window cleaning is a volume business made of small jobs, and every one of them starts with a caller who wants to know what it costs. In September 2026 we added a window cleaning profile so the AI can give that answer from your own rates and book the job on the same call. Here's what it does, and what it doesn't do yet.

Short version. A window cleaning caller rarely books without a number, and the job is too small to drive out and quote. AI Front Desk Helper answers every call at once, 24/7, and asks the three questions that set the price: inside and out or outside only, roughly how many windows, and how many stories. It gives a ballpark from your per-window rates with your minimum applied ("outside only usually runs four to eight dollars a window, with a one twenty-five minimum; the crew confirms on site"). Then it books a two-hour arrival window your crews can make. Homes three stories or taller get an on-site quote. Missed calls get a text back, unbooked quotes get followed up, and every number is tracked by lead source. $297 to $997 a month, flat.

Where window cleaning companies actually lose the job

A window cleaner's phone rings hardest in spring and fall, which is exactly when you're on a ladder or a water-fed pole all day. The caller who wants the house done before a graduation party doesn't leave a voicemail; they call the next listing. The ones you do reach want a price on the spot, and "we'll have to come look" loses a lot of them, because nobody wants a sales visit for a $200 job.

Pricing by phone has its own problem: a count of "about twenty windows" turns into thirty-four panes and a sunroom. You need a range you can stand behind, a minimum that protects a small job, and a clear line that the crew confirms on site.

What the AI does on a window cleaning company call

The AI answers as your company, in about two rings, on every simultaneous call. It asks what sets your price: inside and out, or outside only; roughly how many windows; how many stories; and the address. It notes extras the customer mentions, like screens, tracks or hard-water spots, for the crew, and doesn't invent a price for them.

Then it gives a ballpark from your rates. With the default mid-region sheet that's $4 to $8 a window for outside only with a $125 to $175 minimum, and $8 to $15 a window for inside and out with a $150 to $200 minimum. You adjust those to your own numbers. It always tells the caller the crew confirms the exact price on site. Homes three stories or taller get an on-site quote instead of a phone number.

It books into two-hour arrival windows, same day if there's room, with jobs-per-window set to your number of crews, so it never stacks three houses into a window two crews can cover. Out-of-area callers get a polite no. The same questions and ranges run on your website's Quick Quote for customers who'd rather not call.

What happens after the call

With auto-assign on, each booking goes to a crew member who works that day, is free in that window and has the fewest jobs so far. It lands on their Google Calendar with the address and notes, and in their app with the window the customer was promised. Callers who got a price but didn't book go into a follow-up text sequence at 24 hours, 3, 5 and 10 days, which stops when they reply. Missed calls get a text back in seconds. Booked customers get a reminder.

What it doesn't do yet: book recurring visits automatically. A customer who wants quarterly service is booked one visit at a time. On Elite, outbound campaigns can text or call your past customers when spring or fall comes around, which covers most of what a recurring schedule does. It also doesn't plan your route; it books the windows you set and respects your crew count.

A week on the phone, window cleaning company edition

This is an example of how the system handles a week, not a customer's results.

Tuesday in April, 10:15 am. Both crews are on jobs. A caller wants the outside of a two-story done before Saturday: about 25 windows. The AI quotes about $125 to $200 (the minimum covers the low end), says the crew confirms on site, and books Thursday 10 to 12. At 10:20 a second caller asks about a three-story home; the AI books an on-site look. At 7:40 pm a homeowner asks for inside and out on a ranch; booked for Friday morning.

The next week, a caller who got a price but said "let me ask my husband" gets the day-3 text and replies with a time. In September, on Elite, a fall campaign texts every spring customer; the replies land in the dashboard as bookings.

What AI Front Desk Helper does besides answer the phone

Answering the phone is the entry point, not the product. Here is the rest of what runs once a contractor is on AI Front Desk Helper:

Setup for a window cleaning company

In Settings, pick Window Cleaning as your trade, or Window Cleaning & Pressure Washing if you do both. That switches on the price sheet for calls and texts and the matching Quick Quote on your website. Open See the prices the AI quotes, adjust the per-window rates and minimums to yours, apply the recommended two-hour windows and same-day booking, and set jobs-per-window to your number of crews (or add your crew and turn on auto-assign). Forward your number or port it.

A straight answer about where this comes from: AI Front Desk Helper was built and tested inside my painting company. The window cleaning profile was added in September 2026. The behavior described on this page is what the system does today; we don't have results from window cleaning companies to publish yet, and we won't make them up. When we have real numbers we'll put them here.

Which plan for a window cleaning company

Pro is the fit for most window cleaning companies: calendar booking in arrival windows, reminders and quote follow-up. Elite earns its price if you have a past-customer list, because the spring and fall outbound campaigns are how you fill the calendar without a recurring-booking feature, and review replies matter in a trade that lives on Google. Basic answers and captures leads without booking.

Questions window cleaning companies ask

How does it price a window cleaning job over the phone?

It asks inside and out or outside only, roughly how many windows and how many stories. Then it gives a range from your per-window rates with your minimum applied, and says the crew confirms on site. It never gives a firm price.

Can I use my own prices?

Yes. The sheet starts from regional defaults, and you adjust each line by percentage to match your rates. You can read the exact sheet the AI uses.

Does it book recurring service?

Not automatically yet. Each visit is booked as its own appointment. On Elite, outbound campaigns can reach past customers each season to rebook them.

What about tall homes?

Homes three stories or taller get an on-site quote booked instead of a phone price.

We do windows and pressure washing. Does that work?

Yes. Pick the combined Window Cleaning & Pressure Washing trade and the AI prices both from one sheet.

Hear it on your own number

Fifteen minutes. We call your business line, run a real window cleaning company call, and show you what happens after it. You decide.
