AI FRONT DESK HELPER
AI receptionist for flooring companies

An AI receptionist for flooring companies that books the measure and follows up every quote

A flooring customer usually gets three measures and picks one. The company that answers first, shows up prepared and follows up without being annoying wins most of those. Here's how the AI handles the phone side.

Short version. Flooring is won at the measure and lost in the follow-up. AI Front Desk Helper answers every call at once, 24/7, in English or Spanish. It asks which rooms, roughly how many square feet, what they're putting down (hardwood, LVP, laminate, tile or carpet), what's there now, whether there are stairs, and when they need it done. Then it books the in-home measure into open time on your Google Calendar with all of that on the event, so the estimator walks in knowing the job. It doesn't quote flooring prices unless you've put a number in your Knowledge Base. Every quote gets follow-up texts at 24 hours, 3, 5 and 10 days. $297 to $997 a month, with 500 to 3,000 call minutes included.

Where flooring companies actually lose the job

Flooring calls come in while you're on your knees in someone's living room with a nail gun, or in the showroom with a customer holding two samples. The caller doesn't wait. Angi puts the typical flooring job at $1,528 to $4,859 in 2026 (Angi, "How Much Does Flooring Installation Cost? [2026 Data]"), and whole-house LVP or hardwood runs well past that. A missed call is a measure someone else does.

Then the quote goes quiet. The customer is comparing your LVP price to a big-box install price, or waiting on a spouse, or still deciding between two colors. Nobody at a small flooring company has time to follow up on every quote between installs, and the ones that sign are usually the ones someone called back.

What the AI does on a flooring company call

The AI answers as your company, in about two rings, on every call at once. It asks what a good estimator wants before the measure: which rooms, a rough square footage, what material they're considering and whether they already picked a product, what's there now (carpet, tile, old hardwood) and whether it needs removal, stairs, whether furniture needs moving, and their timeline. For a refinish it asks the wood and how many rooms.

Then it books the in-home measure into open time on your Google Calendar after a free/busy check, with those answers on the event. If you run more than one estimator, each booking can go to whoever's free, with a calendar invite and a briefing text. Commercial jobs get a walkthrough booked or the details taken for a callback, by your rules.

On price: flooring cost depends on material, subfloor, removal and layout, so the AI books the measure instead of guessing. If you want callers to hear a price you always charge (a trip fee, a flat weekly rate, a minimum), add it to your Knowledge Base and the AI answers from it. It never makes up a number. It knows your service area, recognizes repeat customers by caller ID, and drops robocalls.

What happens after the call

After the measure, every quote that doesn't close goes into a follow-up text sequence at 24 hours, 3, 5 and 10 days, written for a flooring conversation ("Did you settle on the color? Happy to bring the samples back out.") and stopping the moment they reply. If a caller says "we got a cheaper quote," the AI switches to a recovery script instead of ending the call. Measures get a reminder the day before, and missed calls get a text back within seconds.

Every number you publish is tracked as its own lead source, so you can see whether the showroom, LSA, Google, the builder you work with or your realtor partners produced the installs. On Elite, outbound campaigns go to past customers (the rest of the house, a refinish in a few years) and ask happy customers for referrals.

What it doesn't do: measure, pick product, or take payment. It gets the right customers to your estimator and keeps the quote alive.

A week on the phone, flooring company edition

This is an example of how the system handles a week, not a customer's results.

Monday, 1:10 pm. Your crew is mid-install. A homeowner calls about LVP for the kitchen, living room and hallway, about 700 square feet over old tile, and she wants it done before Thanksgiving. The AI books a measure for Wednesday at 4 with all of that on the event. At 7:45 pm a caller asks about refinishing oak floors in three bedrooms; the AI books Thursday morning.

The LVP quote goes out Wednesday night. Friday's day-3 text asks whether she settled on the color. Tuesday she replies, "We went back and forth, but let's do the gray one." The job is on the schedule.

What AI Front Desk Helper does besides answer the phone

Answering the phone is the entry point, not the product. Here is the rest of what runs once a contractor is on AI Front Desk Helper:

Setup for a flooring company

In Settings, pick Flooring as your trade. On one onboarding call we load your materials and services (install, removal, refinishing, stairs, commercial), your service area and your measure calendar. If you have more than one estimator, add them in Crew Management. Forward your existing number or port it. Most companies are live within the week.

A straight answer about where this comes from: AI Front Desk Helper was built and tested inside my painting company. Flooring runs on the same setup as our HVAC, plumbing and electrical customers: your rules for what's urgent, calendar booking, follow-up and lead tracking. There's no price sheet for this trade; the AI books the estimate instead of guessing at a price. We don't have results from flooring companies to publish yet, and we won't make them up.

Which plan for a flooring company

Most flooring companies belong on Pro. Measure booking, reminders and quote follow-up are what change the week, and they live there. Elite adds outbound campaigns to past customers, review replies and revenue by lead source, worth it once you're spending real money on ads. Basic answers and captures leads without booking.

Questions flooring companies ask

Will it quote a price per square foot?

Only if you've put one in your Knowledge Base. There's no flooring price sheet, and prices depend on material, subfloor and removal, so otherwise it books the measure.

What does it ask before booking a measure?

Rooms, rough square footage, the material they're considering, what's there now, stairs, furniture, and timeline. You can add your own questions. The answers go on the calendar event.

How does a quote get into the follow-up?

The day after a measure, you get a text asking how it went. Reply with the quote amount (for example Q 4500) and follow-up starts. If your quotes go out from a CRM, a Zapier connection can start it automatically when you send one.

Does it handle commercial flooring?

By your rules: book a walkthrough, or take the details for a callback.
