An AI receptionist for pool builders that qualifies the buyer and follows up the proposal for months
An in-ground pool is a $45,000 to $90,000 decision made by two people over a whole off-season. The builder who answers the first call, asks the right questions, and stays in touch without being pushy usually gets the contract. Here's how the AI does that part.
Where pool builders actually lose the job
Pool builders lose money in two places. The first is the unqualified design visit: two hours at a kitchen table drawing a freeform with a spa and a sun shelf for someone whose budget is a third of what that costs. Angi puts the typical in-ground pool at $44,499 to $87,349 in 2026 (Angi, "How Much Does an In-Ground Pool Cost? (2026 Guide)"), and a lot of first callers have never seen that number.
The second is the long silence. The proposal goes out in October, the homeowners say they want to think over the winter, and in March they sign with the builder who kept in touch. Meanwhile your phone rings while you're on a dig or a gunite day, and the caller with a real budget doesn't leave a message.
What the AI does on a pool builder call
The AI answers as your company, in about two rings. It asks what your designer would want to know before a consultation: what kind of pool they're picturing (fiberglass, vinyl or concrete, if they know), features like a spa, tanning ledge or water feature, when they'd like to be swimming, whether a truck can get into the backyard, whether there's an HOA, and a budget range framed the way you'd frame it ("most of our pools with a spa land between X and Y; is that the range you're planning for?"). You write that framing; the AI uses it.
Qualified buyers get a design consultation booked into open time on your Google Calendar after a free/busy check, with the answers on the event. You can have it ask whether both decision-makers will be there. Callers below your minimum project size, or outside your service area, get a polite answer instead of your evening. Callers who ask "how much for a pool?" hear that it depends on size, type and features, and get a consultation booked. The AI doesn't guess at pool prices.
It also picks up the service side if you do it: a warranty question or a leak call on a pool you built can be transferred to the office or booked as a service visit, by your rules.
What happens after the call
After the consultation and proposal, the customer goes into a follow-up text sequence at 24 hours, 3, 5 and 10 days, written for a pool conversation ("Any questions on the layout or the equipment package?") and stopping the moment they reply. You can set a longer custom cadence for proposals that go out in the fall. If a caller says "that's more than we expected," the AI switches to a recovery script (the phasing or a simpler package) instead of ending the call. Consultations get a reminder the day before.
Every number you publish is tracked as its own lead source, so you can see whether the home show, the LSA spend, Houzz or referrals produced the signed contracts. On Elite, outbound campaigns ask past customers for referrals by name, and nothing sells a pool like a neighbor's pool.
What it doesn't do: design the pool, pull permits, or arrange financing. It gets the right people to your designer and keeps the conversation alive until they decide.
A week on the phone, pool builder edition
This is an example of how the system handles a week, not a customer's results.
Saturday in October, 3:20 pm. You're at a home show booth. A couple calls from your yard sign: they want a fiberglass pool with a spa, swimming by Memorial Day, and their budget is $70,000 to $85,000. Truck access is through the side gate. The AI books a design consultation for Tuesday evening with both of them. An hour later a caller wants "a small pool for under ten grand." Below your minimum, referred politely.
The proposal goes out the next week. Day 3, no reply. Day 10 text: "Happy to walk through the equipment options if the total is the question." Reply in January: "We're ready. When can we get on the schedule?" That contract was lost in the silence under the old way.
What AI Front Desk Helper does besides answer the phone
Answering the phone is the entry point, not the product. Here is the rest of what runs once a contractor is on AI Front Desk Helper:
- Booking that respects your calendar. Estimates land on your own Google Calendar after a free/busy check, so the AI never offers a slot you're already on a job for. Reschedules and cancellations move or remove the event.
- Estimate follow-up that doesn't quit. Text sequences at 24 hours, 3, 5 and 10 days on every quote that hasn't closed, written like a contractor, stopping the moment the customer replies.
- Objection detection. "Too expensive" or "need to think about it" triggers a recovery script instead of a polite goodbye.
- Instant online quotes. For painting, roofing, siding, fencing, gutters, junk removal, window cleaning and pressure washing: a branded quote-and-book page for your business (yours looks like quote.yourcompany.com) where customers get a ballpark price and pick a time, day or night.
- Outbound campaigns. AI calls and texts to your past-customer list for seasonal reactivation, win-backs and referral asks. You set the campaign; it dials.
- Google Business Profile, handled. Every new review gets an owner reply drafted for you; profile posts can be drafted, approved and scheduled weeks ahead; a profile health audit shows how you stack up against nearby competitors.
- Revenue coaching by lead source. Every phone number is tied to where it came from (Angi, LSA, Facebook, referral, yard sign), so the dashboard shows which marketing produces booked revenue and which to cut.
- Customer DISC profiles. Every caller and texter gets a buying-style read (D, I, S or C) from what they actually said, with a confidence flag, so you walk into the estimate knowing how to sell to them.
- Franchise HQ. One rollup across every location for multi-unit operators.
- Reseller program. Agencies and consultants can offer the whole system under their own brand.
- Optional add-on: AI Rep Coach. Records in-home estimates and coaches the people who sell, with manager review and team analytics. Sold separately, per seat.
Setup for a pool builder
In Settings, pick Pool Building as your trade. On one onboarding call we load the pool types you build, your minimum project size, your budget framing, your service area and your consultation calendar. Forward your existing number or port it. Most builders are live within the week.
A straight answer about where this comes from: AI Front Desk Helper was built and tested inside my painting company. Pool building runs on the same setup as our HVAC, plumbing and electrical customers: your rules for what's urgent, calendar booking, follow-up and lead tracking. There's no price sheet for this trade; the AI books the estimate instead of guessing at a price. We don't have results from pool builders to publish yet, and we won't make them up.

Which plan for a pool builder
Pool builders belong on Pro at minimum: qualification, consultation booking and proposal follow-up are the whole value, and all three live there. Elite pays for itself on referrals and on working last year's proposals that never signed, plus review replies and revenue by lead source. Basic is only right if you have an office and just need after-hours coverage.
Questions pool builders ask
Can it ask the budget question without scaring people off?
Yes. You write the framing, usually a range check rather than a demand, and the AI asks it that way and notes the answer on the booking.
Can it turn away projects below my minimum?
Yes. Set a minimum project size and the AI refers those callers elsewhere politely instead of booking a consultation.
Will it quote a pool price?
No. Pool prices depend on size, type, features and the yard. The AI books a consultation.
Can the follow-up run through the winter?
Yes. The standard sequence is 24 hours, 3, 5 and 10 days, and you can set a longer custom cadence for off-season proposals. It stops the moment the customer replies.
Does it handle service calls on pools we built?
If you want it to. You set the rules: warranty questions to the office, leaks booked as a service visit, anything urgent transferred.
Fifteen minutes. We call your business line, run a real pool builder call, and show you what happens after it. You decide.
