Someone cleaning out a garage on a Saturday morning searches, calls the first three names, and books whoever gives them a number and a time. If you're on the truck carrying a sectional down a flight of stairs, the call goes to voicemail, and that customer doesn't leave a message. They're already talking to the next company.
The calls you do answer have their own trap. Say "probably around two hundred" to a caller and it can turn into a three-quarter truck with a refrigerator in it. Now you're either eating the difference or arguing about the price on the driveway, and neither one gets you a five-star review. Refuse to give any number and you lose the caller to the company that did.
And a lot of these calls come in when nobody is at a desk: evenings, weekends, the day before a move-out. The office-hours answering service takes a message; the customer books someone who called back first.
What the AI does on a junk removal company call
The AI answers as your company, in about two rings, day or night, on as many simultaneous calls as come in. It asks what a good dispatcher asks: what's going (a couple of items, a room, a garage, a whole house), roughly how much, where it is (curbside, garage, basement, upstairs), whether there's a mattress, a fridge or freezer, a TV, or anything unusually heavy, the address, and when they want it gone.
Then it does the thing a voicemail can't: it gives a ballpark. Some jobs never get a phone price, and the AI knows which: more than one truckload, concrete, dirt, brick or shingles, hot tubs, pianos and safes, and anything hazardous. Those callers get an on-site quote booked instead.
Then it books. Your calendar is split into two-hour arrival windows (8 to 10, 10 to 12, and so on), same-day booking is allowed with two hours' notice, and the number of jobs per window matches your number of trucks. The AI only offers windows that still have a truck open, and it never books four jobs into a window you can run two in. It knows your service area, so the call from sixty miles out gets a polite no. Robocalls and lead sellers get dropped.
Callers who find you online can do the same thing on your website: the Quick Quote asks the junk removal questions, shows a range, and lets them pick a time.
What happens after the call
If you run more than one truck, turn on auto-assign and the booking goes to a crew automatically: whoever works that day, is free in that window, and has the fewest jobs so far. That crew lead gets a Google Calendar invite with the address and notes, a briefing text before the visit, and the job in their AIFDH app with the same arrival window the customer was promised. If they share their own Google Calendar's free/busy, a personal appointment blocks them automatically. If you'd rather dispatch yourself, leave it off and assign from the lead page.
Callers who got a price but didn't book ("let me check with my landlord," "I need to see what my brother is taking") go into a follow-up text sequence at 24 hours, 3, 5 and 10 days, which stops the moment they reply. Missed calls get a text back within seconds. Customers booked for another day get a reminder. And every number you publish (Google, the truck wrap, Nextdoor, the realtor you partner with) is tracked as its own lead source, so you can see which one produces booked jobs.
A week on the phone, junk removal company edition
This is an example of how the system handles a week, not a customer's results.
Saturday, 9:10 am. Your two trucks are already out. A homeowner calls about a garage: an old couch, boxes, a broken treadmill and a chest freezer. The AI works out it's about half a truck, quotes about $275 to $450 plus the freezer fee, says the crew will confirm before loading, and offers 1 to 3 pm today. Booked. It goes to the crew with the lighter day, and the job shows up on the driver's phone before they finish the job they're on.
At 9:25 a caller wants a hot tub gone. No phone price for that; the AI books an on-site look for Monday morning. At 11:40 a property manager needs a move-out apartment cleared by Tuesday; she gets a Monday afternoon window. At 4:30 someone asks about a single mattress; the AI quotes the single-item price plus the mattress fee and books tomorrow morning.
Tuesday, the day-3 follow-up goes to a Saturday caller who got a price but didn't book. She replies: "Can you do Thursday?" That job was gone on the old voicemail.
