AI FRONT DESK HELPER
AI receptionist for pest control companies

An AI receptionist for pest control companies that quotes the plan and keeps the quarterly visits booked

A pest control call usually starts with "I just saw another one" and ends with either a booked visit or a call to your competitor. The best of those callers become plan customers you visit every quarter for years. Here's how the AI handles both parts.

By Drew Koch, owner of Gladiators Painting and founder of AI Front Desk Helper · Updated September 24, 2026

Short version. Pest callers want to know what it costs and how soon someone can come. AI Front Desk Helper answers every call at once, 24/7, asks the size of the home and what they're seeing, and gives a ballpark from your price sheet. With the default mid-region sheet, a one-time treatment for a 1,500 to 2,500 square foot home is about $175 to $275, and a quarterly plan about $110 to $150 a visit. The technician confirms the price at the visit. Termites, bed bugs, rodents, wildlife and commercial properties get an inspection booked instead of a phone price. Plan customers are put on a repeating schedule on the call: the next visit is booked ahead, confirmed the day before, and moved or skipped with a call or text. $297 to $997 a month, with 500 to 3,000 call minutes included.

Where pest control companies actually lose the job

Pest calls are urgent to the caller. Someone who just found mouse droppings in the pantry or ants across the counter wants a company on the phone now. If the technician is under a deck and nobody picks up, the customer books the next company in the search results.

The quarterly plan is the business, and keeping plan customers is a scheduling job. Every visit has to be booked and confirmed, and moved when the customer is traveling. When that slips, a plan customer quietly lapses. And every caller asks "how much?" before they'll commit, which a voicemail can't answer.

What the AI does on a pest control company call

The AI answers as your company, in about two rings, on every call at once. It asks what they're seeing and where, how bad it is, how big the home is, whether it's a house, townhome or commercial property, and whether they want a one-time treatment or a regular plan.

For common pests (ants, spiders, roaches and similar), it gives a ballpark from your price sheet: a one-time treatment by home size, or the per-visit price of a quarterly, every-other-month or monthly plan. It also mentions that a plan's first visit is usually priced like a one-time treatment, and says the technician confirms the price at the visit. You set every line to your own rates. Termites, bed bugs, rodents, wildlife and commercial properties get an inspection booked instead of a phone price. The AI doesn't give treatment or chemical advice.

It books into two-hour arrival windows with a technician who's free, and never books more visits at once than you have technicians. Plan customers are set up on a repeating schedule on the same call. Callers who find you online can get the same range from the Quick Quote on your website.

What happens after the call

Each plan visit is a real booking, booked ahead so the slot is held. With auto-assign on, it goes to the customer's usual technician when they're free. It lands on their Google Calendar and in their app, and the customer gets a confirmation text the day before (once you turn on appointment confirmation texts). The customer can reply to move or cancel. If a date is full or you're closed, the visit isn't forced in; you get a notice to pick another time. Callers who got a price but didn't book get follow-up texts at 24 hours, 3, 5 and 10 days. Missed calls get a text back. Every number you publish is tracked as its own lead source.

What it doesn't do: route your technicians, track chemical applications, or take payment. Those stay in your field software.

A week on the phone, pest control company edition

This is an example of how the system handles a week, not a customer's results.

Tuesday, 8:05 am. A homeowner has ants in the kitchen for the third time this summer. The AI asks the home size (about 2,000 square feet) and quotes a quarterly plan at about $110 to $150 a visit, with the first visit priced like a one-time treatment. The caller signs up. The AI books Thursday, 10 to 12, and sets it to repeat every three months. The customer gets one text with the schedule.

At 9:40 a caller hears scratching in the attic. That's wildlife, so the AI books an inspection and quotes no price. At 6:20 pm someone asks about bed bugs; they get an inspection too. In December, the ant customer's next visit is already on the calendar, and they get the day-before text. They reply to move it a day, and it's done.

What AI Front Desk Helper does besides answer the phone

Answering the phone is the entry point, not the product. Here is the rest of what runs once a contractor is on AI Front Desk Helper:

Setup for a pest control company

In Settings, pick Pest Control as your trade. That switches on the pest price sheet for calls and texts and the pest Quick Quote on your website. Open See the prices the AI quotes and adjust each line to your rates. Apply the recommended scheduling, add your technicians in Crew Management (turn on auto-assign if you want jobs spread automatically), and turn on Repeating appointments in Bookings. Forward your number or port it.

A straight answer about where this comes from: AI Front Desk Helper was built and tested inside my painting company. The pest control profile and repeating appointments were added in September 2026. Everything on this page is what the system does today; we don't have results from pest control companies to publish yet, and we won't make them up.

Questions pest control companies ask

Will it quote pest control prices by phone?

For common pests, yes, as a range from your price sheet by home size, for a one-time treatment or a plan visit. The technician confirms the price at the visit. Termites, bed bugs, rodents, wildlife and commercial properties always get an inspection instead.

Can it set up quarterly service?

Yes. With repeating appointments on, the AI books the first visit and sets it to repeat quarterly, every other month or monthly on the same call. The next visit is booked ahead and confirmed by text the day before.

What if a plan customer needs to move a visit?

They reply to the day-before text or call, and the AI moves or cancels that one visit. The plan continues.

Does it give treatment advice?

No. It doesn't give advice about treatments or chemicals. It books the visit or inspection, and your technician handles the rest.

Does it handle commercial accounts?

Commercial properties get an inspection booked instead of a phone price.
